attempting to open an alternate
database if you have recently
tried to generate a report or if

Forgot Password or Incorrect Password
|
Someone forgot the password.
|
If a GENERAL user forgets the password, they should
get it from their ADMINISTRATOR. If the Administrator forgets their password, call VRI for
assistance.
|
Networked WPM is slow.
|
Networked WPM operates slightly slower than non-networked software because multiple people are
acting on a single database.
|
Be patient.
|
Screen freezes when you try to open the data collection forms.
|
If you have not accepted the Adobe Acrobat licensing agreement, your screen may become
unresponsive when you try
to open these forms.
|
Go to the Windows Task Manager and close down the WorkPlace Mentor program. Click on Acrobat
reader and accept the license agreement displayed onscreen. You can then open WPM and access
your Data Collection Forms.
|
None of the Vital Information reports will generate.
|
This will occur if there is another software program that uses certain versions of Crystal
Reports installed on the computer.

Save your database to a location OUTSIDE the WPM folder. Uninstall and then Reinstall WPM.

Job Analysis R&O and VI reports won’t generate
|
Check the job title. If the user clicked “ENTER” in the Job Title field, strange characters will
be saved in the title. These characters will prevent the reports from being generated.

Change the Job Title. You CANNOT have a Job Title with a “Hard return” in it.

Profile Match Preference Compatibility VI report won’t generate
|
Check the Observational data field for item J83 in the Job Analysis. If the ENTER key was used
during data entry, you will not be able to generate this report.

Remove any Hard Returns from the Observational Data field for the Job Analysis item J83.
|
In the Instructional CD, the audio starts and then stops before end of presentation
|
This occurs when you try to run the CD on a PC that has less than 128 MB of RAM.
|
Install the Instructional CD on a computer with at least 128MB of RAM.
|
The Instructional CD won’t allow you to create new users
|
When you try to create a new user (using a name that you KNOW to have not been used already)
and the system tells you that the name selected is already in use. Your database has been
corrupted.
|
Delete the SmartLearn folder (typical path: C/Windows/System32).
|
WPM Slideshow on Putting the Model in Motion CD doesn’t have audio or video
|
This occurs if the WPM Slideshow folder is not copied to the root C drive.
|
Put the Putting the Model in Motion CD into your CD drive. Click on My Computer. Click on the
CD drive to view the contents. You should see a folder “WPM Slideshow”. Right-click on the
folder and copy the entire folder directly into the C drive on your computer. It cannot be
placed into any other folder on the C drive. It must be DIRECTLY on the MAIN C DRIVE.

Other Frequently Asked Questions

Can I alphabetize the job bank?
|
No. The job bank was designed to be additive - with the most recently added jobs
put on the top of the list. It was presumed that the most recently created jobs
would be used more than older jobs.

Can I combine my database with the database of another user in my agency?
|
No. Currently there is no merge capability for the WPM database.
|
What do I need to do before I uninstall my WPM?
|
Back-up your database (where your consumer records are stored) outside of the WorkPlace
Mentor folder. This is crucial to
retaining your records because the WorkPlace Mentor folder is removed during
uninstall. Second, look in the WorkPlace Mentor or Backup folders to see if
there are any previously backed up databases there. If there are then copy them to
a folder outside of the WorkPlace Mentor folder.

I went to add a new Job Analysis but the employer wasn't showing up in the list of available
employers.
|
You need to add the Employer to the database before you can add a job at that employer. Click
the Employer button under the heading Add New. Enter the information. Then try to Add the job.

How can I edit my reports?
|
Save the report you want to edit to a file by clicking the icon that looks like
an envelope with a red arrow. Save the file as a Word for Windows document. You can
then open it in Word and edit it there. (Note - some formatting of the report may
be lost during this process.)

Where can I get more copies of the Data Collection Forms?
|
On the Main Menu in your WPM software, there is a button labeled "Forms" under the heading "Data
Collection". Click this button to access and print these forms directly from your software.

Do I have to complete EVERY item on each form?
|
The more data you gather, the more informed your (and your consumer's) decisions will be.
|
What type of information should be recorded in the Observational Data field?
|
The Observational Data field should be used to describe events that you saw when observing
the job or the consumer (or the consumer AT a job). Do not include any subjective or
emotional interpretations. Ex. Joe arrived to work on time every day for a week. vs.
Joe loves coming to work.
|
What do all of these items really mean?
|
The items on the Data Collection forms are written in a very concise manner. However,
each item is also well defined in the Item Definition section of the Glossary in your
User Guide.

Can I just enter the information onto the Data Collection Forms directly on the screen?
|
No. The data collection forms are meant to be printed and filled in "in the field".
|
I have several jobs that I analyzed prior to using WorkPlace Mentor - Do I need to completely
reanalyze them?
|
While starting from the beginning that way has its advantages, it is not always feasible.
Try taking the information you have already gathered about those jobs and identify where
it
fits in the WPM Data collection form. You can then return to the job and make any
necessary adjustments.

Does WPM automatically store or overwrite entries? If they review and change the O&S does it keep
a "baseline?"
|
No. Once you create the record, it is in the system with a time/date stamp. If you alter the
data within this O&S record, the data that was there previously will just be gone (much like if
you edit the text in a Word document – the text that was previously there is just gone). If you
are observing a person over a period of time and want to identify changes over time, you should
create a SECOND O&S record (or third, depending on how many times you observe the person). You
can then compare these records to identify changes between the “baseline” O&S and the “secondary”
O&S. You just need to look at the time/date stamp to differentiate between the two records.

If I am analyzing a job that has 2 significantly different types of activities (i.e., stocking
shelves and janitorial work), how do I go about rating the functional demands? Each
demand would be rated differently depending upon the aspect of the job.

You may want to analyze this as 2 separate jobs due to the differences.
The requirements for each aspect are likely to be very different.
